Refund & Cancellation Policy

1. Administrative Processing Fees (Non-Refundable)
Hertra Education operates a highly rigorous vetting and deployment matrix. The following initial gateway fees are strictly non-refundable under any circumstances as they cover immediate, unrecoverable operational costs:
- Scholar Admission Fee (GHS 150): This fee covers the immediate server-side algorithmic matching process, database provisioning, and the physical deployment of our Regional Coordinators for residential Geo-Anchor mapping.
- Sibling Waiver Admission (GHS 100): Offered exclusively to existing clientele, this discounted fee covers the same immediate operational deployments as the standard admission and remains non-refundable.
2. Tuition Retainers & Advance Funding
Under our Zero-Cash Law, all monthly tuition retainers are held securely in our digital ledger. Refunds for tuition retainers are only granted under the following conditions:
- Educator Default: If a deployed Academic Partner fails to anchor at the deployment zone and Hertra is unable to provide a suitable replacement within 72 hours, a pro-rated refund will be issued to the client for the unfulfilled sessions.
- Client Cancellation: If a parent or institution cancels a deployment mid-cycle, a 14-day formal notice is required. Retainers already committed to completed sessions are legally non-refundable.
3. Partner Logistics & Biometric Deductions
For successfully vetted Academic Partners, a Sovereign Biometric Licensing & Onboarding fee (GHS 150 - GHS 350, depending on role) is deducted from the first institutional disbursement. Because this fee covers the physical manufacturing of Smart ID cards and external Police Clearance verifications, it is strictly non-refundable if the partner resigns or is terminated for violating the Sovereign Oath after deployment.
4. Dispute Resolution Protocol
Hertra Education Ltd. resolves all financial disputes internally before involving third-party payment gateways. To request a refund review, you must submit a secure transmission via the Executive Enquiry Matrix on our Contact page.
Approved refunds are processed back to the original payment method (Mobile Money or Credit Card) via our Paystack encrypted gateway. Processing may take between 3 to 7 business days depending on your financial institution's clearing protocols.
